Responsibilities

  • Manage day-to-day office operations, administrative workflows, and facility needs
  • Lead a major project involving business licenses and complex moving parts, ensuring accuracy and deadline adherence
  • Serve as the central point of contact for internal teams, leadership, clients, and vendors
  • Manage legal invoices, ensuring accuracy and proper tracking
  • Oversee mail distribution, office supplies, and event planning logistics
  • Support HR processes including onboarding, credentialing, training coordination, and compliance documentation
  • Assist with payroll submissions, timekeeping reviews, and employee record management
  • Maintain detailed and organized documentation for projects, certifications, and regulatory requirements
  • Prepare reports, correspondence, and scheduling updates for leadership and project teams
  • Coordinate internal meetings, travel logistics, and companywide communications
  • Support safety, quality, and compliance initiatives across the organization

Qualifications

  • 3+ years of experience in office management or administrative leadership
  • Proven ability to work independently as a “doer” — able to take initiative with minimal direction
  • Detail-oriented, resourceful, and capable of managing multiple priorities simultaneously
  • Strong Excel skills and reporting experience required
  • Excellent communication and relationship-building abilities — role is highly employee and customer-focused
  • Ability to maintain confidentiality and handle sensitive information with professionalism
  • High level of accuracy and accountability, especially with financial and legal information
