Job Description Summary
The University of South Alabama’s Whiddon College of Medicine, Office of Student Affairs is seeking to hire an Assistant Registrar. Interested candidates should apply to be considered.
Essential Functions
- Assumes responsibility for managing student records, including overseeing security, registration, academic progress, and graduation processes through Oasis, Banner, AAMC SRS , E-Value applications, and other pertinent tools.
- Ensures adherence to University policies, FERPA regulations, and LCME standards.
- Issues transcripts and enrollment degree verifications, including records requested via Parchment.
- Assists in managing the course catalog in Banner and Oasis systems to include maintaining, troubleshooting, and reporting issues with these systems to ensure data integrity and accessibility as needed.
- Stays informed about emerging technology and provides recommendations and implementation solutions to improve the efficiency and effectiveness of student data.
- Oversees the collection and recording of final grades by posting them to the academic transcript.
- Processes state licensure paperwork for graduating students and alumni of the Whiddon College of Medicine ( COM ).
- Creates rosters and composites for classes and distributes them to relevant departments.
- Coordinates registration for all classes, maintains the M3 Clinical clerkship scheduling using Oasis, and collaborates with clinical site coordinators as needed.
- Schedules and maintains BLS and ACLS certifications for enrolled COM students.
- Maintains electronic records pertaining to the AAMC Student Record System and the National Board of Medical Examiners ( NBME ).
- Assists with the match process for fourth-year students and helps maintain the electronic residency application service databases.
- Coordinates registration and completion of all board exams through the NBME .
- Assists in coordinating COM events such as the Academic Hooding Ceremony, Match Day, Honors and Awards Breakfast, White Coat Ceremony, and orientations.
- Assists with the maintenance of statistics on student enrollment and developing reports for various stakeholders within the university in conjunction with the Director, Student Records, as needed.
- Effectively communicates with faculty, students, and administration.
- Works collaboratively with other COM administrative offices.
- Actively participates in professional organizations such as AACRAO and the AAMC Group on Student Affairs and Student Records, including traveling to professional events as warranted and approved by the Associate Dean of Students.
- Regular and prompt attendance.
- Ability to work schedule as defined and additional duties as required.
- Related duties as required.
