Job Description Summary

The University of South Alabama’s Registrar’s Office is seeking to hire a Credentials & Degree Analyst II. Interested candidates should apply to be considered.

Essential Functions

  • Assists in all aspects and phases of graduation and commencement.
  • Codes graduation applications in Banner.
  • Verifies graduation check sheets and analyzes degree requirements in accordance with the University Bulletin.
  • Notifies students who do not graduate.
  • Runs degree audits.
  • Processes program changes, name changes, and address changes in Banner.
  • Shares responsibility for scanning, indexing, and verifying academic records related to graduation using the Xtender software.
  • Adds approved comments to transcripts.
  • Receives and processes requests for reissued diplomas.
  • Answers questions from students and administrators.
  • Assists in commencement activities to include participating during the ceremony.
  • Assists with the preparation of reports and student records for commencement exercises.
  • Maintains inventory of commencement supplies, orders supplies as needed, and labels packages for delivery/pickup.
  • Prepares commencement labels, signs, handouts, parking passes and name tags for faculty and staff.
  • Assists with meetings for commencement volunteers
  • Interacts by phone, letter, e-mail, or in person with faculty, staff, parents, and students.
  • Adheres to student confidentiality rights as legislated by the Family Educational Rights and Privacy Act ( FERPA ) of 1974 in handling academic regs and responding to third party requests.
  • Assists at the front desk as required.
  • Attends special events that may require working nights and weekends.
  • Submits paperwork for payment of invoices as needed.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and overtime hours as required.
  • Related duties as required.
